“Education is the most powerful weapon which you can use to change the world”  –  Nelson Mandela

What are the benefits of learning new skills?

Learning new skills enhances the quality of our life, providing us with knowledge when we need it and reducing stress.  It breaks us out of our usual patterns and changes our brain chemisty.

As we learn, our learning speed increases and we gain confidence.  We are more able to tackle new tasks and our mental well being improves as we set new goals and targets. and then reach them.  This sense of achievement is an important part of feeling we are doing well.  Learning new skills also fights boredom and allows us to adapt better to change.

We learn to understand ourselves, our strengths and weaknesses.  To learn the art of life.  And to master the techniques of adjusting and accommodating to changes in our surroundings and life situations.

Why learning is so important for success

Learning new skills is really important for our future success.  It shows we have the drive and commitment to learn and apply new information, ideas and theories, to achieve a variety of tasks and goals.

Knowledge has allowed us to make amazing advances in science and technology.  As they say, knowledge is power and one of the important reasons to learn something new is we gain power when we do.  It makes us far more capable and it helps us get ahead in the workplace and in everyday life.  We can communicate our ideas more clearly, and reason and think for ourselves.

How can online training help us in the workplace?

Learning new skills fortifies and rounds out the skills we need to excel in the workplace, improve our resumes and move to a better paying or more desired position.  Training allows us to keep on top of our industry and learn new skills that become necessary as technology progresses.

Learning new skills can also help us decide what we want to do with our life and makes us more confident when approaching a new role and interacting with other people.

Online training gives us the opportunity to learn basic business principles.  These days, it’s important that we have an understanding of how the entire organisation operates.  If we’re acquainted with the basic functions of all departments, we can be a better business leader, and a significantly more attractive candidate for new roles.

A willingness to learn is a compelling characteristic when putting ourselves forward for new positions.  We should always be taking steps to improve and gain new skills, stay on top of industry trends, and step outside our comfort zones.

Discover some of the most popular online Business and Professional Development courses here.

How can we learn new skills quickly?

We can learn new skills more quickly by interacting with the available information.  As well as completing an online course, we should also gather information from videos, blogs and podcasts.

Make learning more meaningful by connecting it to our own life and experiences, and seeing how it fits into our personal scheme of things.  Consider how can we put what we have learned into practice and use it to our advantage?  When we can do this, we will grasp new concepts much more quickly.

Learn by doing, and build new habits to enforce our skills. For instance, if we are learning Excel, build spreadsheets and practice with new formulas and functions, which will provide us with the data we need in our business or workplace.  Also, regularly compare our work with that of experts in our field.  We will then notice areas where we can improve.

You can see a sample of the most popular online training Computer Training courses here.

Spend time practicing things we find difficult, until they become easy, because in order to excel in a skill, we need to push ourselves out of our comfort zone.  Over time, we will achieve a higher level of efficiency in this skill.

Why is learning new things good for our brain?

Research suggests that continued cognitive activity has a positive effect on braincells and helps promote mental sharpness.  Learning new skills stimulates neurons in our brains, which forms more neural pathways and allows electrical impulses to travel faster across them.  This helps us learn better, and to learn things more quickly over time.

Using our brains more allows us to find a way to work through frustrations and achieve competence.  Leaning new business or career skills is important for surviving and thriving in the workplace.  Learning new skills is essential for building the career or business you love.

Why knowledge is important in our life

Lifelong learning is important.  The voluntary decision to enrol in courses and learn new skills keeps us motivated, with the desire for more knowledge and self-improvement.

We need knowledge to be successful in life.  To grow in our careers, gaining as much knowledge as possible is important.  Knowledge allows us to shape our personality, improve our behaviour, deal with people and situations more easily.

Which skills are important in 2019 and beyond?

Many of the skills we are learning today will be quite different from the skills we will need in as little as a decade.  Technology is changing our world so quickly, that new jobs and business opportunities are arising every day.

5 Simple Steps to Finally Achieve Your Goals

CTO’s Goal Setting Course teaches you how to set and achieve your Goals

Did you know that out of 100 adults approximately 84% have no goals.

13% do have goals, but don’t write them down.  However, this 13% earn twice the amount of the 84% who have no goals.

3% of adults set written goals. They earn, on average, 10 times as much as the other 97% combined.

Is this going to be the year you finally achieve your most important goals?

As you ease back into work, now is the perfect time to set your goals for the year.  These can be both work related and personal.  However, the most important feature of any goal is that it must be achievable.

Below are outlined 5 simple steps to that will teach you to set and actually achieve your goals for 2019.  As you read each step, take the time to write down your answers.  Then follow through on the goals you have set for yourself.

If you do this, you will arrive at the end of 2019 with a sense of accomplishment, having achieved your goals for the year.

  • No more broken New Year’s resolutions.
  • No deciding to give up that bad habit, and then going back to it a few weeks later.
  • Your intentions to lose weight and get fitter, will get followed through this time.
  • You are strong enough to actually save some money.  No more wondering where it all went a few days after payday.

Make 2019 the best year of your life.  Make this year the one where you really will make positive changes, and begin to achieve your dreams.  The extraordinary power of goal setting to achieve success in your business and personal life is what makes having goals essential.

Remember, the only difference between a goal and a dream is a timetable.

So, let’s get started.

Goal Setting with CTO – Writing Your First Goals

First, you will take the steps to define your goals, learn the four essential elements of writing goals, and then set your first 3 goals.

Step 1 – Define What your Goals are

A goal is a accomplishment which you are willing to work towards achieving.  When writing goals, you have to first consider what you want to achieve, and then commit to it.

Set goals that motivate you, then plan the steps you have to take to realize your goals, and celebrate as you reach each milestone.

Fast Fact: Did you know that 92% of New Year’s goals fail by January 15th?

Step 2 – Write Down your Goals

Writing your goals down results in more explicit statements of intent, and strengthens your commitment.  Goals must be Written Down, to make them feel tangible.

Place your goals in a spot where you can read them morning and night, as this allows you to reinforce your commitment to your goals, and to track how you are progressing in achieving your desired outcome.

Fast Fact: Statistics show that people who write down their goals have an 80% higher success rate of achieving them.

Step 3 – Learn the Four Elements of Writing Goals

Each goal should have four defined elements:

  • Action Verb
  • Measurable Outcome
  • Specific Date
  • Cost or Resource Constraint

See the examples below to identify these elements (highlighted in bold)

  1. Acquire three new clients which will allow me to grow my business revenue by 20% by March 15, by launching a social media marketing campaign at a cost of $400 per month.
  2. Write a 150-page book to establish me as an expert on Web Site Development by writing one chapter per month, until 31 August 2019. The cost to publish my book will be no more than $800.
  3. Save over 5,000 into a high interest account for an overseas holiday by December 1, by reducing meals out to 2 per week, and having $100 per week automatically transferred from my pay.
  4. Lose 6kg so I can wear my favourite dress to my cousin’s wedding on 20 April, by swimming or cycling before work each day for 45 minutes.

Step 4 – Write Your First Goal

Now that you know the elements required to write goals, try writing a simple goal of your own which includes all these elements.

Action Verb:

Measurable Outcome:

Specific Date:

Cost or Resource Constraint:

Now Write Two More Goals

Once you have written your first goal, then write down two more.  Make each written goal an accomplishment to be achieved.  Make them quite different, so you can focus on each goal in relation to that area.  For example:

  • Increase my aerobic fitness by …….
  • Save $ into a high interest account so …….
  • Study on Tuesday evening each week for …….

Step 5 – Plan to Achieve Your Goals

  • Your goals are an accomplishment for you to achieve. Enjoy the process of setting and achieving your goals.
  • Write down your goals. Place them on your mirror, your wardrobe door, beside your bed, or somewhere you will see them each morning and evening.
  • Read your goals twice daily to help reinforce your commitment to achieve your goals.
  • Enjoy your progress, and congratulate yourself for small wins along the way.
  • Focus solely on your desire to achieve your goals.
  • Have faith in yourself that you will get there.
  • If you get off track, don’t give up! We are all human after all.  So, simply forgive yourself, then start again at working towards your goals.

CTO's Strategic Plan Training

7 Steps to Create your Strategic Plan

What is a Strategic Plan?

By: Corporate Training Options, Australia

A Strategic plan is developed by your organisation’s leaders as a process to determine their vision for the future, as well as identify their goals and objectives for the organisation.

CTO’s Strategic Planning course – for management planning techniques that work.

A Strategic Plan looks much further ahead than a Business Plan, and helps organisations make the sort of decisions that affect the entire destiny of the organision for years into the future. These decisions are not about small adjustments, but address the really big, important issues facing the orgnisation. These are the decisions you must get right in order to thrive.

Why do I need a Strategic Plan?

Your Strategic Plan is used to:

  • set priorities to achieve your organisation’s goals
  • establish agreement around intended outcomes and results
  • ensure that employees and other stakeholders are working toward the common goals
  • make decisions on allocating resources to pursue the strategy

Strategic planning can be extended to include the control and quality assurance procedures for managing the strategy.

A well written Strategic Plan can mean the difference between your organisation  meeting its goals, or falling short.  As a strategic plan is usually implemented by senior management, if your senior staff members don’t make a commitment to this process, it can cost your organisation time and money. So it is important to get your planning processes right!

What’s Included in a Strategic Plan?

Strategic planning includes:

  • Determining your organisation’s Vision for the future
  • Writing or updating your Vision Statement and your Mission Statement
  • Setting Goals for your organisation
  • Determining Actions to achieve these goals
  • Allocating or purchasing Resources to execute the actions

Strategic Plans Streamline Your Processes

Strategic Planning can assist you to streamline your organisation’s management processes, to provide you with a sense of direction. This will help you obtain your written, measurable goals.

Strategic planning allows management to set, achieve and review goals efficiently and purposefully in relation to your mission statement.

Your businesses processes then become streamlined and goal orientated.

7 Steps to Create your Strategic Plan

A Strategic Plan takes time and effort.  However, a well devised plan can describe the purpose and ethical conduct for your organisation, together with the specific strategies required to achieve the business goals you have set.

The Strategic Planning course from CTO will teach you everything you need to know about creating, implementing and managing a Srategic Plan.

This includes the seven steps below, which have been proven time and again to bring results for those organisations that implement them.

  1. Use the Right People to create your Strategic Plan

When creating a strategic plan, enlist a diverse range of people. People with different skill sets, perspectives and viewpoints will see that the team has a broad range of experience and outlooks.

Include on your team:

  • Staff with the front of line business experience. This can be operations staff, sales staff, customer service staff, and finance team members.
  • Team leaders from various departments
  • Creative team members

  1. Match Your Strategic Plan to Your Business Needs

List your oranisation’s long term goals. Your goals need to be clear and measurable. Goal setting is the basis of strategic planning and your team needs to spend considerable time on this step for best results.

Brainstorm what your precise business needs are in relation to your mission statement and your company’s goals. Ensure that everyone on the team has some input so that you get a range of opinions and perspectives. Don’t let a select few do all the talking!

  1. Use a Template to Write your Plan

You want your Strategic Plan to be easy to manage. Therefore, use a template to write your plan. The CTO 1-Page Strategic Plan templateis available for download at the end of this article.

Include clear procedures to set objectives, monitor results, clarify issues and engage participants.  Ensure that each step of the process is efficient, saves time, and works towards the end goals.  Brainstorm and have fun, and encourage all team members present to participate.

  1. Carry out a SWOT Analysis

A SWOT analysis is a strategic planning technique used to help you identify and analyse the internal and external factors that can have an impact on the viability of your organisation.  The 4 key elements of a SWOT Analysis are:

  • Strengths
  • Weaknesses
  • Opportunities
  • Threats

By examining each of these factors you can maximise those areas where your organisation is strong, minimise weaknesses and pursue opportunities that might otherwise not be explored. Your research should also identify threats to your organisation and create contingency plans to manage them. The SWOT analysis process is extremely enlightening – and a valuable part of the strategic planning process.

  1. Include Key Performance Indicators (KPIs)

By including KPIs, you can determine your organisation and team member’s performance in relation to your plan’s relevant goals. Without periodic assessment of your progress, your strategic plan could fail.

So what KPI’s should you include in your strategic plan?  What you need to track largely depends on where you are trying to go.  A good rule of thumb for measurement is going from X (current state) to Y (desired future state) by date (goal deadline).

Remember – what get’s measured, get’s managed.

  1. Analyse Your Industry

Investigate trends in your industry. Who are your competitors? What are their strengths and weakness? What are the current trends and where are there opportunities for growth?

  1. Choose Processes that Fit with Your Organisation’s Strengths

When choosing processes, choose methods that will match the strengths of your organisation and your team. Can you count on resources to implement every strategy? Select the best steps to match your organisation’s circumstances.

Everyone in your organisation should be aware of your strategic plan. Conduct regular meetings to check the progress of the plan. Make adjustments to your planning and take action if you are not getting the results that you want.

The Corporate Training Options Strategic Planning Course is ideal for business owners and managers. We will teach you and your team to:

  • Prepare for the strategic planning process
  • Define a vision for your organisation
  • Develop a mission statement
  • Assess internal and external factors that influence your business

Learn Microsoft Project with CTO

Stop tearing your hair out. Learn Microsoft Project !

Stop tearing your hair out and learn Microsoft Project

Learn Microsoft Project with CTO
Learn Microsoft Project with CTO

If you are a project manager, you need to learn Microsoft Project.  You will already have excellent leadership and communication skills, however, without the right software tools, managing your projects may be more frustrating, time consuming and cumbersome than it needs to be.

Microsoft Project has been specifically designed for project management, scheduling and the allocation of resources.  Online versions allow all project team members to create, access, edit and update projects and tasks from anywhere.  This means your team members can provide their own real time updates on their tasks as they complete them.

Project Online real-time visibility is especially important when teams are geographically dispersed.  An online solution provides the ability for your entire team to store data in one central file, and when changes occur, team members can be aware of this and can come up to speed rapidly.

When you learn Microsoft Project, you can make use of tools such as:

  • Built-in, customisable Templates, so you don’t have to start projects from scratch
  • Project Planning features such as Gantt charts, and simplified project planning processes
  • Extensive Reports, to keep all your team members on the same page
  • Multiple Timelines, from tasks to upcoming milestones
  • Access to your project data across devices, including Windows, iOS and Android

When you are ready to learn Microsoft Project, the  Introduction to Microsoft Project training course from CTO will be beneficial for both team members and project managers.  The training can be customised to your business requirements and will give you the tools to come away from the training with your first project planned and underway.

The course assumes little or no knowledge of Microsoft Project, so is perfect for Project newbies, or for team members who have never had formal training in the software.

Topics covered include:

  • Key concepts associated with project management
  • Create a new project file
  • Enter tasks into a project file
  • Create relationships between tasks in a project
  • Add resources, including labour, materials and equipment to a project
  • Understand and use resource assignment calculations
  • Assign resources to tasks using a number of different methods
  • Print various aspects of a project
  • Obtain help for Project whenever you need it

The Technical Stuff  –  Microsoft Project versions explained

To help you decide which version of Microsoft Project best suits your requirements, here is a quick overview of the versions available for you.

Microsoft Project on the Desktop

Project Standard

Project Standard is targeted at project managers who are managing small team projects. It is a standalone product and does not have the capability to connect to Project Server.

Project Professional

Project Professional has the ability to connect to Project Server, which enables you to gain a portfolio-level view and give View, Update, or Edit access to project team members. It also provides the ability to manage resources and collaborate with your team via Skype for Business.

Project Server and Project CAL

Project Server allows you to bring various projects together, and give View, Access, or Edit rights to team members and executives across your organization.

Project Server deployment also requires you to license Windows Server, SQL Server and SharePoint Server. You will also require the corresponding CALs (Client Access Licenses), which provide your users the right to access a server.

Microsoft Project in the Cloud

Project Pro for Office 365

Project Pro for Office 365 is a cloud product, which means Microsoft will automatically update the installed client on your PC’s on a recurring basis. You are licensed to install the software on up to five PC’s.

You can connect Project Pro for Office 365 to Project Online. This enables you to gain insight into the portfolio-level view, and give View, Update, or Edit access to project team members. Subscription to Project Pro for Office 365 gives you the right to access Project Online and Project Server.  You also have the ability to manage resources and collaborate with your team via Skype for Business.

Project Online

Project Online is the product corresponding to Project Server, but in the cloud.  You can buy subscriptions of Project Online for as many users as you want.

What about CALs?  Since Project Online is in the cloud, you do not require CALs.

If you already have a Project Server deployment and you want to test the cloud, Microsoft allows you to access your existing Project Server deployment via a Project Online subscription.

Project Lite

Project Lite is the product which provides access for your team members. In order to use Project Lite, you must have a subscription to Project Online. From a technical standpoint, Project Lite is exactly the same product as Project Online, but offered at a lower price point.

From a licensing standpoint, Project Lite enables you to use a subset of capabilities. These capabilities allow you to view and edit timesheets, manage tasks, add issues and risks, and collaborate on project documents. Similar to Project Online, the subscription to Project Lite gives you access rights to Project Server deployment.

3 Time Management tools to boost productivity

Our time is finite, so all of us must use it well. There are only 24 hours of time allocated to us each day.  And in our fast-paced world, it is easy to become overwhelmed with information, people, tasks and responsibilities.  Sometimes, it can all get the better of us.

Without effective knowledge, strategies and tools, poor time management can easily lead to stress and discomfort. So, if you would like to improve your time management and productivity skills, one of the first things you should do is assess the tools you are using.

3 Time Management Tools You Can Use Every Day

Your To-do List

If you only use one time management tool, this is the one you need. Spend the first 20 minutes of your day, every day, to plan your day. Every task must be set around a realistic and achievable timeframe.

One of the key principles of a good To-Do-List is to keep it short.  Try writing down only 3 things you would like to achieve today.  Then tick each of them off as they are achieved.  With all the interruptions to our busy schedules from emails, phone calls, meetings, and workmates, family and friends, sometimes achieving just three things per day can be a mammoth effort.  However, you will soon begin to notice the difference that writing down and achieving 3 daily tasks will make to your life.

Calendars

Calendars are essential to tracking, planning, and scheduling your time. How can you manage your time if you don’t know how and where you are spending it?

Schedule specific times of each day to work on tasks or projects, and block that time out on your calendar. Never rely on your memory for your appointments with others or yourself.  Always build buffer times around appointments in your calendar, to account for travel time, preparation time, and follow up time.

Notebooks – online or on paper

You need one place where you keep all of your notes, and one place to go looking when you need to retrieve a piece of information. Document every thing that you feel is important.

It doesn’t matter whether your tools are paper or app based, as long as you have them, and use them. Know and understand that the day will rarely go as you had planned. Emergencies will pop up and unexpected events may change your course and direction. Just keep focusing on the bigger picture and keep moving forward by focusing on what’s most important.

_

Time Management training from CTO will provide you with skills to help you determine how you presently use time; teach you how to make the most effective use of your time; and allow you to use your time the way you choose – for work, rest or play.
