Microsoft Planner TrainingMicrosoft Planner training – customised for your team

Most teams manage shared work in ways that create more problems than they solve. Email chains that lose track of who is doing what. Shared spreadsheets that nobody keeps updated. Verbal commitments that disappear by Friday.

Microsoft Planner solves this. It gives teams a shared, visual board where tasks are assigned, progress is tracked and nothing falls through the gap. It is the right tool for managing the day-to-day work of a team – straightforward enough that everyone uses it, structured enough that it actually reflects reality.

CTO’s Planner training covers everything from setting up your first board to integrating Planner into your Microsoft Teams channels so task management sits inside the collaboration environment your team already uses. Sessions run as a half day or full day depending on how deeply your team wants to go.

Who should attend

  • Team leaders and managers who need a shared view of what the team is working on and where things stand
  • Project coordinators managing multiple workstreams without the complexity of a full project management tool
  • Teams who currently manage shared tasks in email, spreadsheets or verbal conversation
  • Organisations rolling out Microsoft 365 who want consistent task management practices across teams
  • Anyone who has Planner available as part of Microsoft 365 and wants to use it properly

The Microsoft Planner training pathway

  • What this course covers

The course covers Planner from initial setup through to day-to-day team use and Microsoft 365 integration.

    Planner fundamentals

    • Creating a plan and understanding the structure: plans, buckets and tasks
    • Adding tasks with assigned owners, due dates, priority levels and checklists for multi-step work
    • Using labels and categories to classify tasks by type, priority, status or team
    • Moving tasks through stages using buckets that reflect your team’s actual workflow
    • Updating task progress and adding notes, attachments and comments within a task

    Views, team use and integration

    • Switching between board, charts and schedule views to get different perspectives on the work
    • Using the charts view to monitor team progress and identify where work is getting stuck
    • The My Tasks view – managing personal workload across multiple plans
    • Adding Planner as a tab within a Microsoft Teams channel for in-context task management
    • Receiving and managing task notifications and reminders in Outlook and Teams
    • Understanding when Planner is the right tool and when Microsoft Project is needed instead

Ready to give your team a shared view of who is doing what?

  • Who this course is designed for

Designed for team members and managers at any experience level. No prior Planner experience required and no formal project management background needed. Half-day sessions cover the core Planner features. Full-day sessions include Teams integration, Planner administration and more complex multi-team workflow scenarios.

This course is particularly useful when delivered to a whole team together rather than individuals, building shared habits and a consistent approach from day one.

  • How CTO delivers this training

    Before the session

CTO works with the organising contact to understand how your team currently manages shared tasks and what a successful outcome looks like. A sample Planner structure relevant to your team’s work is designed before the session as a practical starting point.

    During the session

Participants set up a working Planner board during the session using a real workflow from their team. Teams integration is configured in the session where possible, so participants leave with a working setup rather than just knowledge of how it works.

    After the session

Participants receive a Planner setup guide and best-practice reference covering board structure, labelling and Teams integration. Microsoft Project training is available for teams whose work involves structured project management beyond what Planner handles.
